FAQ

Questions daycare directors ask

Straight answers about Capricent for daycare and childcare centers — including owner-operators with limited time and no tech team.

What is Capricent?

Capricent is a SaaS platform for daycare and childcare centers. You get one director portal for daycare management (roster, seats, tours, attendance, billing), compliance organizing (child files, packets, licensing reminders), parent communication (SMS, email, alerts, notes, feedback), and branding and marketing (website, Google, reviews). Capricent handles setup, and on Core and Growth a dedicated account manager provides ongoing help. It is software for running and growing a program — not a state licensing agency, and not a classroom photo-feed app.

Is Capricent for home-based daycares?

Yes — home daycare and family childcare are a core audience, along with small centers. Owner-operators usually run everything alone. Capricent is built so you don’t need a front desk, a marketing person, or complicated software. You get a simple portal, a real website parents can use, and (on Core/Growth) a person at Capricent who knows your program.

Who is Capricent for?

Daycare and childcare centers — especially home-based programs, family childcare homes, and small centers — that want one platform to manage the program, stay organized for licensing, talk with parents, and look professional online. You don’t need to hire staff or learn enterprise tools.

Do I need IT skills to use Capricent?

No. If you can check email on your phone, you can use the portal. Reviewing families, confirming visits, messaging parents, checking payments, and opening child files are straightforward screens — not developer tools. Core and Growth add a dedicated account manager for support and updates.

I’m the only person running my daycare. Will this add more work?

It’s designed to reduce scattered work: fewer lost Facebook messages, fewer missed callbacks, and one place for families, paperwork, and parent updates instead of sticky notes and voicemail. Capricent handles setup; you use the portal in short sessions around the day. On Core and Growth, your account manager is available every business day so you’re not stuck figuring out website or listing changes alone.

Is Capricent the same as classroom apps like Brightwheel?

No. Classroom apps focus on daily care routines like photo feeds and activity posts. Capricent is the business platform for the center: management, compliance organizing, parent communication, and branding/marketing — including inquiries, visits, payments, child files, alerts, and progress notes. Some providers use a classroom photo app alongside Capricent; many run the program on Capricent alone.

Does Capricent include parent communication, alerts, and child progress?

Yes. Parent communication is a core pillar, not an add-on. Capricent Family Comms helps you send daycare alerts and notifications, share child progress notes, and collect parent feedback. Parents access updates through your Capricent parent area.

Does Capricent help with daycare compliance and organizing?

Yes. Capricent includes a compliance calendar, child files, enrollment packets, immunization watches, and visit-day prep reminders so licensing paperwork is organized in one place. Capricent stores and reminds — it does not license childcare, file with the state, or replace your licensing agency.

Does Capricent include a website and marketing?

Yes. Branding and marketing are a core pillar. Every package includes a full parent-facing daycare website — not just a one-page flyer. Parents can learn about your program, request tours, enroll, and pay online. Inquiries and payments connect straight into your director portal. Core and Growth add hands-on Google Business Profile support; Growth adds blog posts, GBP posts, and a city landing page.

Do Core and Growth include a dedicated account manager?

Yes. Capricent Core ($999/mo) and Growth ($1,799/mo) include a dedicated account manager available every business day for client business support, website updates, and platform help. Starter uses email support on business days after a one-time setup call.

How much does Capricent cost?

Three packages per program: Capricent Starter at $399/month (full platform, CRM-connected website, lighter messaging and email support), Capricent Core at $999/month (dedicated account manager every business day, managed Google support, reviews, monthly growth check-in), and Capricent Growth at $1,799/month (Core plus monthly blog posts, GBP posts, a city landing page, and higher messaging limits). Talk to Capricent to pick the right fit.

Does Capricent pay for itself?

Capricent is priced as a complete daycare SaaS platform with setup — not a cheap DIY tool. For many programs, filling one additional open seat matters more than unused software features, because that enrollment supports the monthly investment while you also get management, compliance organizing, and parent communication in the same portal. We don’t quote tuition figures on the website; your rates and open spots determine the math for your program.

What’s included in setup and onboarding?

After you share your details, Capricent configures your director portal and parent-facing website. Starter includes a one-time onboarding setup call and email support on business days. Core and Growth include that setup path plus a dedicated account manager for ongoing support. You don’t need to hire freelancers or run a DIY tech project.

What does the account manager actually do?

On Core and Growth, your account manager is available every business day for business support, website updates, and platform help — so you’re not stuck figuring out listings or portal questions alone. Core also includes managed Google Business Profile support, review help, and a monthly growth check-in. Growth adds content and local SEO work (blog posts, GBP posts, a city landing page, and a monthly local SEO report).

Are SMS, email, ads, or payment fees included?

Each package includes monthly SMS and email allowances (Starter 200 SMS / 1,000 emails; Core 500 / 2,000; Growth 1,000 / 4,000). Those allowances are hard caps — messaging stops at the limit until the next period, you upgrade, or you Talk to Capricent for more (see Terms). Paid advertising is not included unless separately agreed. Parent payments run through Stripe Connect — standard processor fees apply to card payments; Capricent’s monthly package is separate from Stripe’s fees.

Is there a contract, and can I cancel?

Packages are presented as monthly pricing per program. Billing, renewal, and cancellation follow your order terms and our Terms of Service. Talk to Capricent for the exact terms that apply to your signup — we won’t invent fine print on the marketing site.

How long does setup take?

After you share your details, Capricent configures your portal and public website. Most providers start using the director portal shortly after onboarding — without a DIY technical project.

Can Capricent help if I only have a Facebook page today?

Yes. Many daycares start there. We’ll help you look clearer to parents searching online with a real website, and give you a portal so inquiries, family files, and parent messages don’t live only in Messenger.
